Permit Solutions Services, LLC ("Permit Solutions", "we", "us", "our") respects the privacy of visitors to www.permitsolutions.us (the "Site"). This Privacy Policy explains what information we collect, how we use it, when we share it, and the choices available to you. By using the Site, you agree to the practices described below.
Information we collect
We collect information in three ways: information you provide directly, information collected automatically when you use the Site, and information from third parties we work with.
Information you provide
- Contact and intake information — your name, phone number, email address, preferred contact method, referral source, and message content submitted through our contact and intake forms.
- Property information — the property address, permit number, violation or case number, municipality, property type, and other case-specific details you provide.
- Uploaded documents — Notices of Violation, permit records, hearing orders, lien documents, plans, engineering letters, correspondence, and other files you choose to upload.
- Chat and messaging content — messages exchanged through our website chat assistant, WhatsApp channel, or other messaging tools we make available.
- MyHausFax and HauScore requests — the property information you submit for a property compliance report, and any preferences you indicate.
Information collected automatically
- Analytics data — pages viewed, session duration, referrer, general geographic region (from IP address), device category, browser, operating system, and interaction events (button clicks, form starts, form completions, downloads).
- Cookies and similar technologies — small data files that help the Site remember preferences, measure usage, and support security. See our Cookie Notice for details.
- Server logs — standard web server logs including IP address, request timestamps, and pages requested.
Information from third parties
- Public property records — Miami-Dade County, Broward County, municipal building departments, code-enforcement authorities, property appraisers, and clerk of courts records we retrieve to research a property you have asked us to review.
- Referral sources — partners, referrers, or professionals who send you to us.
How we use information
- To respond to your inquiry, review your property or case, and provide the services you have requested.
- To communicate with you about your matter, including via phone, email, SMS, and WhatsApp where you have provided that contact channel.
- To coordinate with licensed professionals (engineers, architects, surveyors, contractors, attorneys, title professionals) engaged on your matter.
- To interact with municipalities and government agencies on your behalf where authorized.
- To operate, secure, and improve the Site and our internal workflows.
- To comply with legal obligations and enforce our Terms of Use.

How we share information
We do not sell your personal information. We share information only as described below:
- Service providers — vendors that help us operate the Site and deliver services, including form processing (Web3Forms), analytics (Google Analytics 4), hosting (Vercel), messaging (WhatsApp), and email delivery. Providers are bound to use information only for the purposes for which we engage them.
- Professionals engaged on your matter — licensed engineers, architects, surveyors, contractors, attorneys, and title professionals whose involvement is required to advance your case.
- Government agencies and municipalities — where necessary to file, research, or resolve permits, violations, or compliance matters on your behalf.
- Affiliated entities — for cross-workflow coordination between Permit Solutions Services and its affiliated products (MyHausFax, HauScore) and affiliated construction operations (AllDay Fence) where the work relates to your matter.
- Legal compliance — where required by law, court order, subpoena, or lawful governmental request.
- Business transitions — if the business is sold, merged, or reorganized, information may transfer to the successor entity subject to this Policy.
AI-assisted processing
Portions of our intake, chat, and document-review workflow may use AI-assisted tools. Where we do so:
- AI-generated summaries and outputs are used to support our staff and are not treated as final legal, engineering, architectural, title, appraisal, insurance, or municipal conclusions.
- We do not authorize the use of your uploaded documents to train third-party AI models except where you have provided explicit consent and the use is legally appropriate.
- Material regulatory or advisory outputs presented to you are subject to human review by our team.
Document upload and retention
Documents you upload — Notices of Violation, permit records, hearing orders, plans, and other files — are stored under access controls limited to authorized personnel and engaged professionals. Cookies and analytics
We use Google Analytics 4 to understand how visitors use the Site. GA4 is configured to avoid receiving personally identifying content (names, phone numbers, email addresses, property addresses, or uploaded document contents). Third-party messaging services
WhatsApp is a third-party service operated by Meta Platforms. Messages you send us via WhatsApp are subject to WhatsApp's own privacy practices in addition to ours. Consider what personal or sensitive information is appropriate to share via WhatsApp.
Data retention
We retain information for as long as reasonably necessary to provide the services you have requested, to meet legal and accounting obligations, and to resolve disputes. Retention periods vary by the type of information and the case status. Detail on document-specific retention is available in the Document Upload and Retention Policy.
Your choices
- You can decline to provide information, though this may prevent us from providing certain services.
- You can request access to, correction of, or deletion of the information you have submitted by emailing privacy@permitsolutions.us. We will respond within a reasonable time, subject to any legal obligation to retain records.
- You can opt out of promotional emails using the unsubscribe link included in each message. Operational messages related to an active matter may continue.
- You can control cookies in your browser settings.
Security
We use reasonable administrative, technical, and physical safeguards to protect information collected through the Site. No method of internet transmission or electronic storage is fully secure, and we cannot guarantee absolute security.
Children
The Site is not directed to children under 13 and we do not knowingly collect personal information from children under 13.
Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent version. Material changes will be indicated on the Site.
